Appointment Cancellation & Missed Appointment Policy

Cancellation Timeframes

​

How Fees Apply (January 2026)

Appointment Type                                         Notice Required

Standard GP appointment                            2 hours

Long or procedural appointment                 Up to 4 hours

​

Please cancel early so we can offer your appointment to another patient.

 

Missed Appointments (DNA)

​

A missed appointment occurs when you do not attend or cancel within the required timeframe.
A short 10-minute grace period is allowed.

​

DNA / Cancellation Fees

​

  • Fees may be charged up to the full private fee of the appointment

  • Fees apply even for patients who are usually bulk billed

  • These fees are not covered by Medicare

  • If a fee applies, you will receive an SMS with a secure payment link

  • Payment can be made by phone or in person at the clinic

 

Outstanding fees must be paid before further appointments can be booked.

 

Telephone Appointments

Please ensure you are near your phone at the scheduled time.

If the doctor attempts to call and you do not answer, this may be recorded as a missed appointment and a cancellation fee may apply.

One-Off Waiver

In some circumstances, the practice may offer a one-off waiver of a cancellation or DNA fee.

 

Where this occurs, patients may be asked to read, sign, and return an Appointment Attendance Agreement confirming their understanding of the practice’s cancellation policy and future fee arrangements.

​

Waivers are offered at the discretion of the practice and do not set a precedent for future missed appointments.

 


When appointments are missed or cancelled at short notice, it prevents other patients from accessing care.

Our policy helps us maintain fair access, minimise wait times, and respect the time of our doctors, nurses, and staff.
